How to add a shift to an employee using the Schedule Planner

Preface

The Schedule Planner works in InfoTime by building patterns. For instance you may have a pattern that is 5 days on and 2 days off. If you apply this pattern to a Tuesday they will work Tuesday-Saturday and have Monday and Tuesday off. Please bare this in mind when building and applying patterns. Most companies will work be working Monday-Friday. So it's best to apply the pattern to a Monday.

Common issues are usually caused by applying the pattern to start on the wrong day, or forgetting to include the days off when saving the pattern.


Navigating to the Schedule Planner

You can get to the schedule planner by hovering over the Timesheet option in the menu and clicking Schedule Planner.

The from and to date will determine what dates you will see in the Schedule Planner.

If you are building a shift that repeats every week, for instance a 9AM-5PM Monday-Friday shift, we would suggest you put the start date as a Monday and put in the days field '14' This will show you 2 weeks worth of scheduling starting from a Monday.

You can also use other filtering options such as typing in the Employee's name in the employee section, or filtering by Departments.

Once you have filled out the fields, press Search and the schedule planner will load.


Adding a 9AM - 5PM Monday-Friday Shift Pattern

the Schedule Planner is very flexible, but to easilly explain how to use this feature we will build a 9AM - 5PM Monday-Friday Shift Pattern

If you followed the previous instructions you should be looking at a Monday and have 2 weeks worth of dates in front of you in a calendar.

To start off with we will Right Click the Monday and click the Add Main Shift Option.

A dialogue will pop up, confirming you are selecting the Employee ID you have clicked on, you can click Next here.

Next you have another dialogue where you can enter the start time and finish time, please bare in mind these are expected to be in 24 hour formats.

Here we will put 0900 as the start time and 1700 as the finish time.

The display colour will change how it is displayed in the Schedule Planner and the option 'Ignore Break Rules' if ticked will not follow the Break Rules that are configured in the Working Rule.

You can then click Next.

If in the Working Rule you have an overtime option that is set by each days schedule, you can enter the Overtime rules here, otherwise you will be on the Confirmation screen.

Once you've confirmed the details are correct, click the Save button.

This will then close the dialogue and you should see the Shift added to the Monday.


Building a pattern from the one shift we added

You can now right click underneath the shift, see picture above where we have drawn a red box to show you where to right click.

If you click 'Copy Pattern' you can now paste this Pattern.

you should now right click the empty area on the 10th, 11th, 12th, & 13th and click paste on each day.

That is now your first week built for this employee. 

Go ahead and select the Monday to the Sunday by clicking on the Sunday and keeping the mouse down while you drag your mouse to select all of the week as pictured below.

Once you have selected these, right click any empty space in the selected area and click 'Save Pattern'

When entering a pattern name it's best to give it a descriptive name, in this for example we can call it 0900-1700 Monday-Friday.


Applying The Pattern

Once that's saved we can then apply the pattern by right clicking the Monday and clicking 'Apply Pattern'

Choose the pattern we have just saved. 

The end date is not required and is only used if the employee is going to stop working that Shift Pattern.

You can now change the dates at the top of the Schedule Planner and look at any time in the future and you will see they have been scheduled for the correct shift on that date. You can also apply this pattern to any other employees that work this pattern, but remember to always apply it to a day that the pattern actually starts on. (IE If it's a monday-friday, apply it to a Monday)
